Privacy policy

This website is operated by the owner of Magna Bay Hideaway, a short-term rental in Magna Bay, British Columbia (the Property Owner).

The Property Owner is responsible for the personal information collected through this website for the purpose of managing enquiries, bookings and stays. The service providers listed below handle some of that information on our behalf, and some of them also process information under their own terms.

We collect only what we need to answer you and to arrange a stay. We do not buy personal information from anyone, and we do not build profiles on visitors.

• When you enquire about dates: your name, contact details, stay dates, guest count and booking details. No card details are collected through this website.
• Automatically, when you visit: your IP address, the pages you view, and your browser and device type. This is ordinary web server logging and is used to keep the site working and secure.
• Through analytics: approximate location, pages viewed, and how you arrived at the site. This is aggregated and is not used to identify you.

We use the information above to:

• Answer your questions and arrange, confirm and manage your stay.
• Take payment and issue any refund that is due.
• Meet our legal obligations, including tax and accounting records.
• Keep the property and other guests safe, and enforce the booking terms.
• Understand how the site is used so we can improve it.

We do not sell your information, rent it, or share it with advertisers. We do share it with the service providers that make this site and our bookings work, and only so far as each needs to do its job:

• RentalCal — our booking and calendar system. It processes reservation information: your name, contact details, stay dates, guest count and booking status. It does not receive or store your card number.
• The Direct Studio — our website provider. They build, operate, maintain and support this website, and may access limited personal information where that is necessary to provide those services.
• Vercel — website hosting infrastructure. Handles the technical logs described above.
• Cloudflare — image delivery for the photographs on this site.
• The Direct Studio Analytics — measures how the site is used. It is loaded only after the page becomes interactive, sets no cookies, and does not follow you to other websites.
• Google Maps — if you view the embedded map, your browser connects directly to Google, which may receive technical information such as your IP address and browser or device details. Google handles that under its own privacy terms.

We may disclose information where the law requires it — a court order, a tax audit, or a lawful request from a public authority — and where it is necessary to establish or defend a legal claim, for example a damage claim or a payment dispute.

This site sets no cookies of its own, and the booking calendar does not store anything in your browser.

The Direct Studio Analytics measures how the site is used without setting cookies, and without tracking you across other websites.

We keep personal information only for as long as is reasonably necessary for the purposes described in this policy — managing bookings, resolving disputes, preventing fraud, and meeting legal, tax and accounting requirements. After that we delete, anonymise or securely dispose of it.

Server logs are kept only briefly.

You can ask us what personal information we hold about you, ask for a copy, ask us to correct it if it is wrong, and ask us to delete it where we are not required to keep it. Email magnabayhideaway@gmail.com and we will respond within the time your local law allows.

If you are not satisfied with our response, you can complain to the privacy regulator where you live.

The site is served over an encrypted connection.

Card details are handled directly by our payment provider and are never stored by us. Booking information is held in our booking system and is accessible only as far as is reasonably necessary to manage your booking and your stay.

No system is perfectly secure, but we take reasonable steps to protect what we hold and to limit who can see it.

Our service providers may store or process information outside Canada, including in the United States, and it may be subject to the laws of those countries. We use providers that commit to appropriate safeguards for that transfer.

This site is not directed at children, and we do not knowingly collect information from them. Bookings are made by adults, and children are included in a reservation by the adult making it.

We do not send marketing email unless you have asked us to. If we ever do, every message will carry an unsubscribe link, and unsubscribing will not affect a booking you have already made.

If we change how we handle personal information we will update this page and the date at the top of it. Where a change is significant, we will make that clear rather than relying on you to notice.

The Property Owner is responsible for privacy on this site and is the right first point of contact for anything on this page.
